DEFINITION

A project in contemporary business and science is currently likely to be defined as a collaborative enterprise, involving research or design, that is carefully planned to achieve a particular aim. Projects can be further defined as temporary rather than permanent social systems or work systems that are constituted by teams within or across organizations to accomplish particular tasks under time constraints.

Our Project:

Our project is to arrange wedding ceremony.

Importance of Project Management:

Today's corporate organizations have developed a completely new way of doing business that has overturned the rigid, hierarchical and divided system of labor in years past. This new model hinges on projects: distinct activities grouped together with the aim of attaining a specified goal – whether it's a new software package, a marketing strategy or a new brand of toothpaste.

Modern organizations are characterized as dispersed, technology driven, human focused and skill based. Rather than relying on pigeonholed workers to conduct single routine tasks, they rely on teams of connected experts to work together on holistic projects, focusing their energy on one goal at a time.

Projects are completed by teams of people who are specially chosen for their skills, knowledge and potential to contribute to the final result. The team is led by a project manager. He or she is responsible for keeping the project tasks on schedule, communicating with all stakeholders and managing resources – the people, money, tools and time needed to achieve the goal. The project manager is the centre of the project and the driving force behind the team.

The discipline of project management is extremely versatile and can be adapted to any business or industry. Its strength is focused teams of experts who can quickly adapt, organize and troubleshoot, meaning that most problems can be resolved efficiently.

Here are three reasons why project management is important to modern businesses.

Human focused:

Today's employees are no longer satisfied with comfortable, rote work for which they need not take any responsibility. In fact, many people are looking for more creative, empowered and hands-on positions where they can make a real impact. Project-based organizations provide this since they focus on goals and outcomes rather than working according to the clock. This makes it a more logical and stimulating structure for skilled people.

In addition, since project management relies so much on good communication, the discipline emphasizes the need to focus on the realities of working with people – mistakes and successes, good and bad days, conflicts and so on. Research has proven that the more understanding and flexible an employer is, the more devoted, productive and happy the staff are.

Flexible but structured:

Project management perfectly combines the two needs of organizations – first, to be adaptable to changing circumstances and second, to be structured, predictable and organized. Good project managers spend a lot of time ensuring that everybody knows what their responsibilities are and when requirements are due. They are also masters at adapting these schedules if something goes wrong, or things proceed better than expected.

Project-based organizations can be adapted much more easily than other business structures since whole teams can shift together to accommodate changes.

Efficient:

A core project team with an excellent manager can be much more efficient than a whole stable of workers because, as a cohesive and dedicated unit, they can focus all of their energy on the task at hand. Fewer people can accomplish a single project, meaning that human resources are freed up for other work.

One of the essential concepts of project management is balancing the three requirements of cost, time and quality – a project needs to be under budget, delivered by the deadline, and of sufficiently high quality. Often, however, these three factors are in conflict and not all of them can be achieved at once; a project may be running late due to some unavoidable delays, or the quality desired may require more money than was initially budgeted for. A good project manager balances these three factors and produces the most efficient result possible.

On top of that, good planning and organisation can save a lot of mistakes, confusion, backtracking and delays – all of which decrease the efficiency of an organisation. Planning for risks is inextricably linked to project management; the sooner these can be avoided, mitigated or prepared for, the better for the team, project and organisation as a whole.

My project is to arrange wedding ceremony of my brother and it is not for the purpose of gaining profit.

Risk Management Process

Wedding planners have to be logistical wizards. They must mesh the services of multiple vendors and attend to intricate details with each one, all the while adhering to the stakeholders’ vision and budget for their perfect day. Caterers, musicians, event location staff, transportation service, and florists are just a few of the service providers involved in the big event. Each vendor must deliver impeccable, error-free service, on time and in the right place. However, all of these deliverables are part of the risks for the wedding planner. For example, what if the caterers run out of the food requested for the wedding? Or, what if the limo for transporting the couple gets a flat tire, just as it is supposed to drive the happy couple away? Wedding planners must prepare for unfortunate and/or sudden changes in conditions. For example, if an outdoor wedding is planned, a contingency plan for inclement weather must be developed. The wedding planner must be prepared and have planned for anything to go wrong. Risk management is an important part of managing projects. Hall emphasizes that the wedding planner must attempt to eliminate or minimize risks through careful planning. Careful and explicit planning enhances the probability of success for the stages of risk management. Furthermore, structuring wedding planning with project management concepts and procedures will help to ensure a successful wedding event.

Contingency Plan:

If any part of your event happens outside, ensure that there’s shelter nearby in case of a hailstorm or whatnot. If the event is booked near a building, have a room inside pre-prepared with seating, beverages, etc. If it’s an outdoor shindig, have tents at the ready.

• Have a backup caterer “just in case”: the head chef might drop dead of a heart attack, or the place might get shut down because of a licensing issue. Always have a second choice listed, along with how much notice they’d need to get everything together.

• If there’s a performer, guest of honor/surprise guest/etc, be sure to have at least one (preferably two) available that can call in on a moment’s notice to take their place.

• Reinforce any known weak links: if you know the chosen ring bearer can’t be counted on, give a responsible guest/bridal party member a spare set of rings for the ceremony. If the event host is known to get too soused to speak, have an understudy in the wings ready to take over if needed—reserving a bit of your budget to retain a stand-in is a small price to pay as opposed to having an entire event fall apart.

There is a definite upside to making these seemingly tiresome backup plans: they’re almost like a pre-emptive strike against whatever negative karma might be lurking around, waiting to cause trouble. 99 times out of 100, you won’t have to use any part of your contingency arrangement, but you’ll be far more confident and secure during the event knowing that you have one just in case.
